Privacy Policy

Last updated: September 14, 2026.

This Privacy Policy explains how Futurion LLC handles information for Parent Advocate. Parent Advocate is a parent-facing service that helps adults prepare questions, drafts, summaries, school communications, IEP-related drafts, document reviews, and planning materials.

Parent Advocate is intended for parents, guardians, adult caregivers, and authorized adults. It is not intended for children to create accounts or submit information.

1. Information Used by the Service

Parent Advocate uses different types of information to provide the service. Some information is kept while your account is active, some is used only temporarily to complete a workflow, and some is created only when you approve a communication, send feedback, or contact support.

2. Sensitive Student Information and PII

Parent Advocate processes sensitive student or educational information, including personally identifiable information (PII), when you type it into the service or upload documents. This can include student names, parent names, email addresses, school information, IEP content, evaluations, disability-related information, accommodations, services, goals, grades, progress, or other school records.

Parent Advocate protects PII through sign-in required access, separate user accounts, private uploaded document handling, encrypted web connections, restricted administrator access, temporary uploaded document storage, logout deletion, and automatic document cleanup.

Only provide information you are authorized to use. Do not submit information about a student unless you are authorized to do so.

3. How We Use Information

4. What We Do Not Do

5. Uploaded Document Handling

Uploaded documents are associated with the signed-in user's account and are used only for workflows requested by that user.

Uploaded documents are not public and are not available to other Parent Advocate users.

Uploaded documents are temporary. Documents are deleted when the user logs out and are also removed by an automatic time-based cleanup, currently about two hours after upload unless the timeout setting is changed.

If you delete an uploaded document through the application, the document and its live application record are deleted.

6. Data Set and User Isolation

Data Set profile and document operations require sign-in. The application uses the signed-in user's account identity to load and store that user's Data Set. Each user can access only that user's Data Set through the application.

7. AI Processing

Parent Advocate uses AI/LLM services to process prompts, uploaded document text, and workflow context to produce requested outputs. This processing includes sensitive student information when you include that information in prompts or documents. Do not submit information you are not authorized to submit.

8. Email Communications

For approved Parent Advocate email workflows, Futurion sends the approved message using a verified Futurion sender and a reply-to address associated with the parent/user so the recipient can reply directly to the parent/user. Approved email content is sent to the recipients selected or confirmed by the user. Once an email is sent, recipients can save, forward, reply to, or otherwise handle it outside Futurion's control.

9. Feedback and Support Communications

Futurion may provide feedback, survey, or support/contact methods. If you send a message from your own email account, your sender email address may be visible to Futurion.

Feedback and surveys are used to evaluate and improve the product. Support/contact messages are used for account, billing, access, or technical support.

Do not send student records, IEP documents, medical information, disability information, school records, or case-specific student details through feedback, survey, support email, or contact methods. If sensitive student information is sent anyway, Futurion deletes it and does not use it for support or product review.

10. Operational Records

Parent Advocate uses limited operational records needed to keep the service working, authenticate users, prevent abuse, troubleshoot failures, maintain prompt balances, and protect accounts.

Operational records are not student records and are not used to store uploaded document content, IEP text, medical information, disability information, or school records.

11. Retention

12. Data Set and Uploaded Document Deletion

Parent Advocate supports deletion of Data Set/profile information and uploaded documents through the application where those controls are available.

Deleting Data Set/profile information removes the saved Data Set/profile values used by the live application. Deleting an uploaded document removes the document and its live application record.

This process does not delete the user's sign-in account, emails already sent to recipients, copies retained by recipients, payment-provider records, email-provider records, or records that service providers maintain under their own legal, security, fraud-prevention, tax, and operational requirements.

13. Security

Parent Advocate uses sign-in required access, separate user accounts, private uploaded document handling, encrypted web connections, restricted administrator access, time-limited upload handling, logout deletion for uploaded documents, automatic document cleanup, prompt controls, and billing/access controls.

Users should protect their login credentials, use only accounts they control, and avoid submitting unnecessary sensitive information.

14. FERPA, COPPA, and School Records

Parent Advocate is a parent-facing service and is not a school, school district, or official school record system. Futurion is not acting as a school's FERPA "school official" unless Futurion enters a separate written agreement with a school or educational agency that creates that role and related obligations.

Futurion designed Parent Advocate to support responsible handling of parent-submitted PII and student education information, including privacy practices relevant to FERPA and COPPA. The service limits child use, uses parent-controlled submission, keeps uploaded documents private to the signed-in user, deletes uploaded documents as described above, and does not sell personal or student information.

Parents and authorized adults decide what information they are authorized to submit. Do not submit student records or student information unless you have authority to use that information.

The service is adult-facing and is not directed to children under 13. Children should not create accounts, use the service, or submit personal information. A parent, guardian, or authorized adult must use the account.

15. Vendors and Service Providers

Futurion uses third-party vendors and service providers to operate Parent Advocate, including cloud hosting, authentication, storage, AI/LLM processing, email delivery, and payment processing where applicable. These providers process information as needed to provide and secure the service.

16. Changes to This Policy

Futurion may update this Privacy Policy as the service, trial, production billing, support methods, vendors, or data handling practices change. Continued use after updated terms are posted or accepted means you agree to the updated policy.
